OUD Naturescapes

The brief

For OUD Naturescapes, Raiwin built a targeted automation system covering the commercial and communication side of their aquarium business, connecting their website and their physical store into one operational flow.

The system handles aquarium updates and service records, processes payments taken through the backend so online and in-store transactions settle into the same place, and then automatically issues the paperwork that follows - invoices, bills, payment confirmations and status notifications sent to customers without anyone preparing or chasing them.

The problem

For a small business the tax isn't any single admin task - it's the accumulation. Payments taken in two places, invoices and bills to prepare, confirmations and status updates to send, records to keep current: each is minor, and together they quietly consume the team's time.

There was also a split between channels. Online and in-store transactions lived separately, so the picture of the business was never in one place, and reconciling them was its own recurring chore.

The temptation in these situations is to over-build. But a heavy enterprise platform would have solved the problem by creating a new one - a system that demands its own upkeep.

What we built

We designed the system around the specific recurring tasks that were costing the team time, and deliberately kept it lightweight. The real brief was restraint: remove exactly the tasks that drain the team, and nothing more.
